BookingDeskPro is a product of CraftAtom Technologies (craftatom.com). This page holds every policy that applies when you use BookingDeskPro:
Terms of service
These terms are an agreement between CraftAtom Technologies ("we") and the business that creates a BookingDeskPro account ("you"). By creating an account, you accept these terms, the payment and refund policy, and the privacy policy.
The service
BookingDeskPro lets your customers book appointments with your business on a booking page, sends them notifications by email and WhatsApp, and lets your staff manage the bookings. Features can change.
Your account
- You must be 18 or older and able to agree to these terms for your business.
- Keep your sign-in details safe. You are responsible for what happens in your account, including actions by staff you invite.
- Give accurate business details. Your booking page shows them to the public.
Your customers and their data
- You are responsible for having a lawful reason to collect your customers' details and to send them booking notifications.
- WhatsApp notifications are for booking confirmations, reminders, and changes only. You cannot use them for marketing.
- BookingDeskPro is not a medical records system. Do not enter medical histories, diagnoses, or prescriptions in booking notes.
Acceptable use
Do not use BookingDeskPro to:
- Break any law, or offer services that are illegal where you operate.
- Send spam, or contact people who did not book with you.
- Pretend to be another business or person.
- Disrupt, probe, or overload the service, or access another business's data.
We can suspend an account that breaks these rules. Where we can, we tell you first and give you time to fix the problem.
Availability
We work to keep BookingDeskPro running at all times, but we do not promise that it will never be unavailable. We may stop the service for maintenance, preferably outside business hours in India.
Ending your account
You can delete your business's account at any time from the app, as described inDelete your account. Deleting it removes your bookings and customer records, except the payment and invoice records that tax law requires us to keep. We can end an account that seriously or repeatedly breaks these terms.
Liability
We are not liable for indirect losses, such as lost profit or missed appointments. Our total liability is limited to the amount you paid us in the 12 months before the claim.
Law
These terms are governed by the laws of India.
Changes to these terms
We update the date at the top of this page when these terms change, and email you at least 30 days before a significant change applies.
Payments and refunds
Plans and prices
- The Free plan costs nothing and has no time limit. Its limits are listed on the pricing page.
- The Paid plan costs ₹5,999 for one year, plus 18% GST. You pay once for each year. The plan does not renew automatically.
- Extra calendars cost ₹999 a year each, plus GST. A pack of5,000 WhatsApp notifications costs ₹999, plus GST.
- If you do not renew, the paid features stay on for 7 days after the end of the paid year, and then your account moves to the Free plan's limits. Your bookings stay in your account.
- WhatsApp notifications from your yearly payment and from packs do not expire while your account is active. They lapse 12 months after your account becomes inactive. A notification counts only when Meta reports it delivered.
- We tell you at least 30 days before a price change applies to your next payment.
Refunds
The Free plan has no time limit, so you can run your bookings on BookingDeskPro before you decide to pay. For this reason, we do not refund payments for the Paid plan, extra calendars, or WhatsApp packs.
We consider a refund only for a genuine reason, such as a duplicate payment, a payment taken in error, or a paid feature that does not work and that we cannot fix. To ask for a refund, write to support@bookingdeskpro.com within 3 days of the payment, and include the payment reference and the reason. We decide each request on its facts. An approved refund goes back to the original payment method, and your account returns to the Free plan's limits.
Privacy policy
This policy explains how CraftAtom Technologies ("we") handles personal data when you use BookingDeskPro: this website, the app at app.bookingdeskpro.com, the BookingDeskPro staff app for Android, and the booking pages at name.bookingdeskpro.com.
Two kinds of people, two roles
Businesses and their staff. When you create an account for your business, we decide how your account data is used. Under the Digital Personal Data Protection Act, 2023 (DPDP Act), we are the data fiduciary for that data.
Customers of a business. When you book with a business through its booking page, the business decides why your data is collected. The business is the data fiduciary, and we process your data on its behalf. For questions about a booking, contact the business first.
Data we collect
From businesses and staff:
- Your name, email address, and password. We store a hash of the password, not the password.
- Your Google profile name and email address, when you sign in with Google.
- Business details: name, type, logo, locations and addresses, services, prices, staff, working hours, and settings.
- Billing details: the plan, payments, and the GST number you give us for invoices.
- Where your sign-up came from, such as the advertisement or page you clicked.
From customers who book:
- Your name, and the phone number or email address you enter.
- The booking: service, person, location, date, time, and any notes you add.
- Whether a WhatsApp message to you was delivered, and any request you send to stop WhatsApp messages.
From everyone:
- Technical data with each recorded event: your internet address, and the country, region, city, postal code, approximate coordinates, and time zone that our network provider, Cloudflare, derives from it.
- Cookies that keep you signed in, and a cookie that notes which advertisement you arrived from. The website keeps the campaign details of the link you arrived from in your browser for the current visit, so that sign-up can record them.
From the Android staff app:
- Your Google account name, email address, and Google account ID, when you sign in with Google. If you sign in with an email address and password, we collect the same details as on the web.
- A push notification token, the device platform (Android), and the app version. We use them to send you booking notifications on your phone. We delete the token when you sign out of the app.
- The camera, only to scan a booking QR (quick response) code. The app reads the code on your device. It does not upload or store the camera images.
- A session token, which keeps you signed in. The app keeps it in your device's secure storage, and signing out revokes it.
How we use the data
- To run the service: show booking pages, take bookings, and show them to the business.
- To send booking confirmations, reminders, and changes by email and WhatsApp, and sign-in codes by email.
- To send booking notifications to the phones of staff who use the Android app.
- To send businesses messages about their account, such as set-up reminders, invoices, and renewal reminders.
- To see which of our advertisements bring sign-ups.
- To protect the service: limit repeated requests, detect abuse, and keep an audit record of changes.
- To bill businesses and meet tax and accounting duties.
We do not sell personal data, and we do not use customers' data to advertise to them.
Who we share data with
We share data only with providers that help us run the service, and only what each one needs:
- Cloudflare, for the domain name system, the network that carries every request, and file storage such as logos.
- Our server hosting provider, for the servers and the database.
- Our email delivery provider, to send emails.
- Meta, to deliver WhatsApp messages to customers on the Paid plan.
- Meta, to measure our advertisements. This covers business owners only, never customers who book.
- Our payment providers, Cashfree Payments and Paddle, to collect payments from businesses.
- Google, when you choose to sign in with Google.
- Firebase Cloud Messaging, a Google service, to deliver push notifications to the Android staff app.
We also disclose data when the law requires it.
How long we keep data
- Account and booking data: while the business's account is active, and until the business deletes it.
- Push notification tokens: until you sign out of the app, or until Google reports that the token no longer works.
- Payment and invoice records: as long as tax law in India requires.
- WhatsApp stop requests: for as long as we send WhatsApp messages, so that we never message that number again.
Your rights
Under the DPDP Act, you can ask to:
- Get a summary of the personal data we process about you.
- Correct, complete, or update your data.
- Erase your data, unless the law requires us to keep it.
- Withdraw consent, where we rely on consent.
- Nominate a person to act for you.
- Raise a grievance with us, and then with the Data Protection Board of India.
You can delete your own account, and a business can delete its account, as described in Delete your account. A customer can reply STOP to a WhatsApp message to stop WhatsApp messages from every business. For any other request, write to support@bookingdeskpro.com.
Security
Every connection uses HTTPS. Passwords are hashed. Each business's data is kept apart from every other business's data, and staff see only what their role allows.
Children
Business accounts are for people aged 18 or older. A parent or guardian books for a child.
Changes to this policy
We update the date at the top of this page when this policy changes, and email businesses about significant changes.
Delete your account
This section applies to the BookingDeskPro staff app for Android and to the web console. You do not need the app installed to delete your account.
Delete your account yourself
- In the Android app, open More, and then select Delete account.
- In the web console at app.bookingdeskpro.com, sign in, open Settings, then Account, and select Delete account in the danger zone.
To confirm, enter your password. If you signed in with Google and have no password, type the email address on the account.
If you own a business
A business has one owner. You cannot delete your account while you own a business. First transfer the ownership to another member, or delete the business from its settings. If the business has a live paid subscription, cancel the subscription first.
A business that has a paid invoice cannot be deleted from the console, because tax law requires us to keep invoices. To close such a business, write to support@bookingdeskpro.com.
What we delete
- Your profile, your sign-in details, your sessions, and your memberships of businesses.
- Your push notification tokens.
- When a business is deleted: its bookings, customer records, services, locations, staff, settings, and uploaded files such as its logo.
What we keep
- Payment records and tax invoices for 72 months, as tax law in India requires. We use them only for accounting and tax duties.
- Audit records of changes to the service. They help us detect abuse. The internet address and location stored with an event are cleared after the retention period we set for them, and the event itself remains.
- WhatsApp stop requests, so that we never message that number again.
Deleting an account is permanent. We cannot restore it.
If you cannot sign in
If you cannot sign in, or no longer have the app, write to support@bookingdeskpro.comfrom the email address on the account. State that you want to delete your account. We check that the request comes from you, and then delete the account and tell you when it is done.
Contact and grievances
Write to support@bookingdeskpro.com about any of these policies. Grievances go to our Grievance Officer at the same address. BookingDeskPro is operated by CraftAtom Technologies, craftatom.com.
